Live Scan (Background Check)

Per Board Policy & Administrative Regulation 1240 and pursuant to the California Education Code, parent/guardian volunteers working under the immediate supervision and direction of certificated personnel are not required to complete a criminal background check. This includes parents/guardians volunteering in classrooms, on field trips, or providing other supervised services.

Any volunteer applicant whose name appears on the California Department of Justice Megan's Law online database is prohibited from serving as a volunteer in any capacity, including one-time activities.

Volunteers who require fingerprinting must complete Live Scan within California. A copy of the completed Live Scan form must be submitted with the volunteer application. Fingerprint clearance is determined through the California Department of Justice (DOJ) and the Federal Bureau of Investigation (FBI). Cleared volunteers are maintained in a confidential Human Resources database and only need to complete Live Scan once during their volunteer service with the District.

Volunteers under 18 years of age are not required to complete fingerprinting; however, a parent or guardian must complete and sign the volunteer application on the minor's behalf.

Please Note: Live Scan forms are district-specific. The District cannot receive or accept fingerprint results completed for another agency or organization.

Tuberculosis (TB) Requirement

All Level B and Level C volunteers must submit either:

• Negative tuberculosis (TB) test results, or
• A completed Tuberculosis Risk Assessment Certificate

Documentation must be received prior to beginning volunteer service.

Clearance Timeline

To receive an update regarding your volunteer clearance status, please contact your school's Outreach Coordinator. Clearance timelines vary and cannot be expedited.

Mandated Reporter Training

Effective July 1, Senate Bill 848 requires certain volunteers to complete annual Mandated Reporter Training. This applies to volunteers who may have unsupervised interactions with students.

Examples include:

• Supervising students on the playground without staff present
• Escorting students to the restroom during a field trip
• Working individually or in small groups without direct staff supervision

The California Department of Social Services provides free online training. Volunteers must submit their certificate of completion with their volunteer application. A small fee may apply to download the certificate.

Mandated Reporter Training

All volunteer applications are reviewed and approved by the appropriate school site or department administrator.

Volunteer service may not begin until:

• The volunteer application has been fully completed.
• All required documents have been submitted.
• Any required Live Scan background clearance has been received.
• Tuberculosis documentation has been verified (if applicable).
• Mandated Reporter Training has been completed (if applicable).
• The site or department administrator has granted final approval.

How do I become a volunteer?

Before applying, we recommend contacting the school site where you wish to volunteer to discuss available opportunities and determine the appropriate volunteer level. Once confirmed, complete the appropriate volunteer application and submit all required documentation.

Who needs to be fingerprinted?

Anyone volunteering as a Level B Volunteer must submit a volunteer packet and complete the Live Scan fingerprinting and tuberculosis (TB) requirement. Level B volunteers may support schools, staff, and students under the supervision of district staff. Examples include:

• Classroom helpers
• Library volunteers
• Field trip chaperones
• Hot lunch servers
• Athletic coaches
• Any volunteer role involving interaction with students

Who does not need to be fingerprinted?

Individuals visiting campus as a one-time visitor are not required to complete fingerprinting. Examples include:

• Guest speakers
• Spectators at sporting events or performances
• Attendees at Back-to-School Night or Open House
• Parent-teacher conferences
• Visitors observing a classroom
• Audience members attending school events

Do parents or guardians need to complete the volunteer packet?

Yes. Parents and guardians who wish to volunteer should begin by completing the Level C Volunteer Packet.

I volunteered in the past and was fingerprinted at that time. Do I need to complete the process again?

If you have not volunteered with the District for more than 12 consecutive months, you must complete the fingerprinting process again before volunteering.

Why am I being fingerprinted?

Fingerprinting is one of several measures the District uses to help ensure student safety. California law requires school districts to fingerprint adults who will be working with students. Fingerprints are submitted to the California Department of Justice (DOJ) and the Federal Bureau of Investigation (FBI) for criminal background checks.

Results are sent directly to the District. Only authorized personnel have access to the results and, by law, may not disclose this information to anyone else or any other agency.

How often will I need to be fingerprinted?

If you separate from volunteer service or remain inactive for one year or longer, you will be required to complete fingerprinting again before returning as a volunteer or coach.

I was fingerprinted with another district or organization. Do I need to be fingerprinted again?

Yes. Fingerprint clearances cannot be transferred between agencies because the results are confidential. Even if you have already been cleared elsewhere, you must complete Live Scan specifically for this District.

I have volunteered for years and was never required to complete Mandated Reporter Training. Why am I being asked to complete it now?

Complete Mandated Reporter Training

After completing the training, download your certificate of completion and attach it to your volunteer application. Although the training itself is free, there may be a small fee to download the certificate.
